Payment Policy

Last updated: 19 July 2026. This policy applies to all custom tour itineraries, FIT packages and group allocations booked with Navigator Vietnam.

1. Payment Currency & Conversion

All tour itineraries are calculated based on the local cost of operations in Vietnamese Dong (VND). For the convenience of our international clients, quotes and final invoices may be displayed and settled in United States Dollars (USD) using current verified bank foreign exchange rates.

2. Milestone Deposit Structure

To guarantee international flight sectors, boutique accommodation blocks and licensed private local guide services, Navigator Vietnam operates under a milestone payment framework:

• Initial Booking Deposit (30%): A non-refundable deposit equal to 30% of the total tour package value is required within 7 days of itinerary confirmation. No ground reservations or hotel blocks are finalized until this deposit clears.
• Final Balance Payment (70%): The remaining 70% balance must be settled in full no later than 45 days prior to the tour departure date.
• Late Bookings: For itineraries confirmed less than 30 days prior to arrival in Vietnam, 100% full payment is required immediately at the time of booking.

3. Authorized Payment Channels & Processing Fees

To ensure compliance with the State Bank of Vietnam and international anti-money laundering (AML) regulations, Navigator Vietnam accepts payments exclusively through our verified corporate banking channels. No personal accounts or individual cards are used by the company.

Option A: Secure Digital Payment Links & Mobile Wallets

• Gateway provider: Processed securely via our licensed gateway partner, OnePay.
• Accepted methods: Visa, MasterCard, American Express, JCB, Apple Pay, Google Pay and Samsung Pay.
• Domestic options: Clients within Vietnam can also pay via MoMo, ZaloPay, ShopeePay and VNPay-QR bank transfers.
• Processing surcharge: Payments via this digital link channel carry a 3.60% international merchant card processing fee (or standard domestic rates for local wallets), automatically added to your checkout invoice.

Option B: Direct International Bank Transfer (Wise / SWIFT)

• Recommended for: Large balances, final tour milestones and B2B group tour operator wholesale invoices.
• Processing fee: 0% surcharge from Navigator Vietnam.
• SWIFT wire transfers: Please select "OUR" as the transfer charge option. All international bank charges are to be borne by the sender — Navigator Vietnam must receive the full invoiced amount clear of all deductions.
• Wise / EFT transfers: Payments made via Wise must be sent as local Electronic Funds Transfers (EFT) routed directly into our official corporate bank account, detailed below.

4. Amendment, Cancellation & Refund Terms

Because your custom tour involves upfront, non-refundable currency commitments to local Vietnamese suppliers, all cancellations must be submitted in writing and are scaled based on proximity to your travel date:

• More than 30 days prior to departure: The initial 30% deposit is retained to cover non-refundable hotel deposit forfeitures and administrative booking expenses. Any extra balance paid is refunded in full, minus standard bank wire fees.
• 15–30 days prior to departure: 50% of the total tour package cost is non-refundable.
• Less than 14 days prior to departure, or no-show: 100% of the total tour package cost is non-refundable.
